How do I create and assign different translations to the privacy confirmation (Confirmation - Person added) e-mail template?

Please follow this FAQ, if you use SuperOffice Online,
SuperOffice Onsite 8.5 R11 or newer version.

 

You can create your own privacy confirmation e-mail template with different language translations. Follow the steps below to learn how to do it:

Step 1. Create your own or edit the existing privacy e-mail template

Step 2. Create and assign translations to your privacy e-mail template

Step 3. Assign this e-mail template to Privacy - Source list item

 

Step 1. Create your own privacy e-mail template

To create a new privacy confirmation e-mail template, please follow the steps below:

  1. Create a new document template with a privacy confirmation text you prefer or use any of the available template variables, click here to access the complete list.

  2. Save the document, with the type Web Page, Filtered. It will create an html file.


     
  3. Upload this file to SuperOffice CRM. Check this FAQ to see how it can be done: How do I add a new document template in SuperOffice?
     
  4. In a document item configuration screen select Outgoing as Direction, select the option Privacy e-mail template. Also you can create your own Subject which confirmation e-mail will have and click Save.

 

To edit an existing, standard template:

  1. Click on Lists, Document - Template and double-click on a template called Confirmation - Person added.


     
  2. Click on Language tab (1), select a language and then click Edit (2) button to open a text of the selected language.



    Note! Clicking on Edit at the top of the dialog will edit a dummy template, not an English version of template.
     
  3. Edit text of the e-mail message, which is sent out to new CRM contacts and click Save to save adjustments.

Step 2. Create and assign translations to your privacy e-mail template

To create and assign translations to privacy confirmation e-mail template, please follow the steps below:

  1. Click on the Languages (1) tab in your new privacy e-mail template edit screen and click +Add (2)


     
  2. In the new screen choose the language (1) of this translation. Then you can either upload a new template translation file (2) or copy an existing document template file (3) and include a new translation text afterwards and click Add (4).


     
  3. If you choose option 3 (copy an existing document template file) you will have to edit template and include translation text. Click Edit (2) button to do that. 

    Note! Edit (1) button will open an English version of document template, not a translation. 

 

Step 3. Assign this e-mail template to Privacy - Source list item

To assign your created e-mail template to privacy source, please follow the steps below:

  1. From the Lists drop down menu select Privacy - Source and double-click on an item, which should have your new privacy e-mail template assigned.


     
  2. In an item dialog select checkbox in front of Automatically send confirmation e-mail to person, it will enable template field. Select your new e-mail template from the list and click Save.
